The AI That Collects Your Unpaid Invoices

You're owed money right now. And for a lot of small businesses, it's more than you'd guess, sitting in invoices that went out, got acknowledged, and then just... never got paid.

The frustrating part is that this money is already yours. You did the work. You sent the bill. The only thing standing between you and getting paid is follow-up that nobody has time to do consistently.

The Money You've Already Earned

Nearly 3 in 5 small businesses (59%) now have invoices overdue by 30 days or more, up from 47% a year earlier, and those waiting on unpaid invoices are owed an average of $17,700 (Intuit QuickBooks 2026 Small Business Late Payments Report, published July 2026). For roughly 1 in 5 businesses (22%), it's not a few stragglers: at least 20% of their invoices are sitting unpaid past the 30-day mark.

For a spreadsheet, those are just numbers. For a contractor or a medical practice, that's payroll. That's the difference between making the month and sweating it. $17,700 sitting in aging receivables isn't an accounting abstraction: it's cash you need, parked just out of reach because chasing it fell to the bottom of everyone's list. In the same survey, nearly 2 in 5 owners (39%) said one late payment made it hard to cover payroll or bills in the past year.

And it stays there because follow-up is awkward, time-consuming, and easy to postpone. Nobody wants to be the one sending the third reminder. So the reminder doesn't go out, and the money doesn't come in.

The Fix: Accounts-Receivable Automation

This is exactly the kind of problem software is good at, because the hard part isn't judgment, it's consistency. Accounts-receivable automation tools send reminders on the schedule you set, using templates you write in your own wording, escalate according to your rules, and only loop you in when a situation actually needs a human.

The options run from built-in to purpose-built. QuickBooks Online has automated invoice reminders you can schedule before and after the due date. BILL (formerly Bill.com) runs invoicing, collection, and automated payment reminders as a platform. Paidnice layers a rules engine on top of QuickBooks Online or Xero for reminders, statements, late fees, and payment plans. Newer AI features in this category go further and try to predict which invoices are likely to go late, though how well that works varies a lot by tool and by how much history you've given it, so treat that as a bonus rather than the reason you buy.

Whichever you pick, the point is the same: the polite-but-persistent follow-up you know works but never get around to now goes out reliably, in wording you approved, without you writing or sending each one.

What It's Reasonable to Expect

The honest version: the direction is well supported, the size of the win is not something anyone can promise you. NetSuite's guide to AR automation cites a 2023 study in which 85% of CFOs at companies that had automated more than half of their AR processes reported a decrease in days sales outstanding (NetSuite). That is a survey of self-reported direction, not a measured number of days.

Individual vendors publish their own averages, and you should read those the way you read any vendor's own numbers. What nobody can tell you in advance is your figure, because it depends on your payment terms, your customer mix, and how consistent your follow-up is today. If you're already chasing every invoice on a schedule, automation buys you time back rather than speed. If invoices currently get chased when someone remembers, the gain is likely to be larger.

So measure it. Write down your current days sales outstanding before you turn anything on, and check it again after a full billing cycle or two. That's a direct read on your own cash flow, with zero change to your pricing, your work, or your client relationships.

And it takes no bigger billing team. That's the whole point. You don't hire someone to chase invoices: you let the follow-up happen on its own, in the background, on schedule.
